Introduction
Meet Is Everything Safe Groups. Contact wristbands and attendance tools for organised outings, helping your team stay connected and keep track of who is checked in. Let us walk through setting up your event and bringing everyone together.
A day out. A clearer plan.
A group outing. Three coaches. Staff, a few extra helpers, and a lot of people looking forward to the day. Let's get organised with Is Everything Safe Groups. Create your event, give it a name, and set the start and finish times.
Choose how your codes will work
Decide what you need. One shared contact code gives everyone a way to reach the adults responsible for the event. Individual codes give each attendee that same connection, plus their own attendance record. For this outing, we'll use individual codes.
Choose your registered staff
Select the registered organisation members supporting this event. These are people with a Groups account in your organisation. An administrator can invite another member when needed. Organisation administrators aren't automatically public contacts: you choose the people involved in this event.
Bring your helpers along
Parents, volunteers and support workers can join as helpers without creating a permanent organisation account. Show the joining QR code, let them enter their name, and approve their access. Their access is for this event only. Email invitations are another option.
Choose who a finder can call
Choose who should appear when someone scans a band for help. Give each contact a friendly name and a phone number. A helper must agree to share their number. Someone helping with boarding doesn't have to be a public contact. You choose that separately.
Add the people coming along
Paste your attendee list or upload a file. Use the names or labels your team recognises, with one person per line. Review the list and save it. The people attending don't need accounts. Search makes it easy to find someone in a larger group.
One person. One assigned band.
Individual or shared describes what your code does. Disposable or reusable describes the band. That gives you four wristband options, with cards and tags as alternatives. Generate codes or choose existing stock, then print yourself or order preprinted bands from your supplier. For this individual-code outing, select the attendee, check the code and assign it. Give each person their own code.
Set up the attendance check
Create an attendance check for the moment you want to record. We'll call this one outbound coach boarding, and divide it into Coach One, Coach Two and Coach Three. Staff and helpers open the check and select their subdivision. Now they're ready to scan.
I thought they were with you…
I thought Jamie was with you. No, I thought he was with you. Let's check. The organiser's register shows Jamie has not yet been checked in. That's a prompt to check before departing. It's a record of attendance, not live location tracking or a replacement for supervision.
Scan. Confirm. Keep moving.
Scan the band, wait for the green confirmation, and move to the next person. You can enable a sound too. No acknowledgement is needed after a successful check in. A repeat scan won't count someone twice. An incompatible code gives a warning. Changing coaches needs a confirmed move.
See the whole group
The helper sees their selected coach. The organiser can see all coaches, the total checked in, and anyone still outstanding. Connected screens update regularly. If a band can't scan, search for the attendee by name. Check ins need a connection: don't treat an unsaved scan as attendance.
A connection if someone needs help
If someone becomes separated from the group, a finder can scan their wristband using a phone. The page shows the contacts selected for the event, with a button to call. The finder doesn't need an account or the Groups app. This example uses fictional contacts, with calling disabled.
Through the day. Then close.
Create separate checks for arrival and return boarding, keeping the earlier records intact. If plans run late, extend the event before it ends. When it closes, finder contact details stop being shared and the codes return to your stock. Assign them again on another outing. Previous attendance stays with the original event. Only permanent retirement stops a code being reused. Event records are kept for six months, unless your organisation chooses an archive.
